Privacy Policy
Last updated [Month Day, Year]
You are telling us about your mental health, which is about as sensitive as information gets. This page explains what we collect and what we do with it, in plain terms.
What We Collect
- Your name, email, and mailing address
- Your state of residence, so we can match you to a licensed professional
- Your answers to the screening questions, which include health information
- Details about your animal
- Payment information, handled by our payment processor — we never see your full card number
- Basic technical data such as IP address, browser, and pages viewed
How We Use It
We use your information to match you with a licensed professional, run your appointment, deliver your letter, take payment, and answer your questions.
We do not sell your personal information. We do not sell or share your health information for advertising, ever.
Who We Share It With
- The licensed professional you are matched with, which is the whole point of the service
- Vendors who run things for us, like payment processing, video visits, email, and hosting, under contracts limiting what they may do with it
- Anyone you tell us to share it with, such as your landlord
- Law enforcement or a court, when we are legally required
[List your actual subprocessors here. Several state privacy laws expect the categories to be named.]
How Long We Keep It
We keep your account and billing records for as long as your account is open, and then as long as the law requires. Clinical records are held by the professional who treated you and are subject to their own state's retention rules, which are often between 5 and 10 years.
Your Rights
Depending on where you live, you may have the right to see, correct, delete, or get a copy of your information, and to opt out of certain sharing. California, Colorado, Connecticut, Virginia, and a growing number of other states give you these rights.
To make a request, email support@onlineesaletter.com. We will not treat you differently for asking.
Security
We use encryption in transit and at rest, access controls, and vendor agreements. No system is perfectly secure, and we will tell you if a breach affects your information, as the law requires.
Children
This service is for adults. We do not knowingly collect information from anyone under 13. A minor may use the service only with a parent or guardian involved.
Cookies
We use cookies to keep the site working and to understand how it is used. [Describe your actual analytics and advertising tools here, and add a consent banner if you use anything beyond what is strictly necessary.]
